Billing

Once the contract has been awarded, construction invoicing begins. NOVA AVA offers you the full range of features you need in this phase – including a target/actual comparison.

Everything in view, everything under control

In the NOVA AVA bill of quantities table, you can see the commissioned services (TARGET) and the services provided for the measure (ACTUAL). If you have not yet specified which alternative or contingent items are to be carried out when the order is placed, you can simply activate these LV items in the overall order at a later date.

Supplements: created quickly

You can add unforeseen services using supplement management. To do this, you simply create new LV items and group them into a supplement package as required. You can display the status of supplements in NOVA AVA individually and in summary form. As soon as a supplement receives the status “Released”, it is taken into account in the total order amount as well as in the invoice amount and payment instruction. Practical: Even before the addendum is released, the corresponding amount is taken into account as a risk for forecasts.

Changes: No problem

During construction, some services may change (e.g. increase/decrease in quantity). There may also be price adjustments or changes to the performance requirements. You can record all of this quickly and easily with change requests. The change history in NOVA AVA lists all changes in full – for each item and for the order as a whole.

Complete documentation

With NOVA AVA, you can document how a construction project is developing in terms of costs at any time:
Main contract originally awarded

  • Individual supplements with supplementary amount
  • All supplements summarized
  • Total commissioned service

You can export your documentation in PDF, GAEB and Excel formats.

Management services by order

You can also document work that is performed and invoiced as hourly wage work in order management. In contrast to supplementary services, these services do not increase the order value. However, they are used as part of service recording and billing.

Measurements as proof of performance

Services rendered can be documented and recorded directly in NOVA AVA with measurement documents. Thanks to the web-based solution, this can be done from anywhere, even on the construction site. The site manager enters the quantity of work carried out for the LV items directly. He can use the quick calculator function or carry out complex calculations with REB 23.003 formulas. Of course, NOVA AVA can also be used to set and save relationships between measurements. And here too, the cloud solution pays off: you can invite the contractor to record the services they have provided directly in the measurement cockpit. You only need to check this and can then release the measurements for invoicing. If required, the release of measurements for invoices or credit notes can be assigned to a separate work step.

Activate and classify measurements

If you have calculated quantities in detail using a formula when creating the bill of quantities, these can also be easily activated for the measurements. All measurement information can be grouped into calculation sections, assigned to invoices and given a status such as “provisional”, “rejected” or “approved”. You can also assign measurements to specific cost groups, locations and cost units. You can use the standard DA11/X31 interface to exchange data with external systems. NOVA AVA’s powerful check routine supports you during import and export with its convenient data synchronization.

Even easier with the measurement app

Would you like to make construction invoicing even easier? Then get the free NOVA measurement app for you and your partners! It allows you to exchange all contract and invoicing data between the client, contractor and site managers on the go.

Approved NOVA AVA orders are simply imported into the app using a QR code or direct link. You will then see the commissioned services in the item list with text and order quantity. Once the service has been carried out, you can tick the corresponding item off as completed or create a detailed calculation for the service report – including comments and photos for documentation.

The free NOVA measurement app makes the entire process of service recording, invoicing and checking quick and convenient for everyone involved – the perfect complement to NOVA AVA construction invoicing.

Invoice management

NOVA AVA is a comprehensive and sophisticated tool for all your invoicing and invoice processing needs.

  • Create invoices and credit notes, check them and release them for payment.
  • Create check invoices or credit notes based on the recorded services. To do this, choose from the invoice types advance payment, payment on account, partial final payment and final payment. You can then release the payment.
  • In the invoice overview and for individual invoices, you can switch between increment calculation and cumulative billing at lightning speed.
  • You can define net and gross deductions in percentage or absolute terms for invoicing – you can also create your own subtotals.
  • Discounts, rebates, safety and warranty retentions and cash discount conditions agreed in the order are automatically taken into account by NOVA AVA when calculating the payment amount.
  • Invoices/credit notes can be canceled and the amount actually paid can be entered retrospectively.
  • You can split invoices with the cost allocation defined for the project and thus generate invoices differentiated by cost center, cost unit or location.
  • Once the warranty has expired, you can redeem any amounts withheld and archive the order.

Target/actual comparison

With NOVA AVA’s target/actual comparison, you have a powerful tool at hand to keep an eye on costs. It shows you the current performance status numerically and graphically at all times for all levels of the project: for bills of quantities (trades), bill of quantities areas (construction phases) and the individual bill of quantities items.

With the visualized warning function, you can immediately recognize quantity underruns and quantity overruns and know which services should be renegotiated. Printouts and various evaluations of cost trends support you in this process:

  • Which cost groups are affected?
  • Where are additional or reduced costs incurred?
  • Which service areas are affected?
  • Which invoice periods are involved?

And what happens next?
